Privacy information for warehouse requests

Privacy · Warehouse request

This notice explains how OLN processes information submitted with a warehouse request to assess the requirement, contact the requester and identify suitable logistics providers.

Last updated: 10 September 2026

In brief

Request data is used only to handle the request and perform the matching. Marketing email consent is separate and entirely optional.

01

Controller and contact

The controller is OLN GmbH, Im Mediapark 5, c/o STARTPLATZ, 50670 Cologne, Germany. The managing director is Thilo Koch.

For privacy questions or to exercise your rights, contact info@openlogistics.network.

02

Data we process

We process the information you provide during the request flow and the technical information needed to transmit it securely.

  • business email address and phone number
  • target region or location, approximate pallet volume and intended start date
  • campaign and referral parameters where available, such as UTM parameters, gclid, gbraid or wbraid
  • the time and content of your privacy and marketing choices
  • technical security data processed temporarily by Cloudflare to provide the service and prevent abuse
03

Purposes and legal bases

We process the request to assess the warehouse requirement, contact you about it and match the requirement with suitable logistics providers. The legal basis is Article 6(1)(b) GDPR because the processing takes place at your request before a possible business relationship is entered into.

Security and abuse-prevention measures are based on our legitimate interest in operating a secure and reliable request flow under Article 6(1)(f) GDPR.

We send marketing emails only where you have given separate, voluntary consent under Article 6(1)(a) GDPR. Handling the warehouse request does not depend on marketing consent.

04

Required and optional information

Your contact details and the three requirement fields are needed to assess and answer the request. We cannot perform the matching without them. Marketing email consent is voluntary and optional.

05

Recipients and service providers

We use Cloudflare, Inc. for hosting, secure transmission and temporary storage. We use HubSpot, Inc. for contact management, form delivery and internal notifications.

If we identify a possible fit, we may disclose the request details, including the business contact details, to a limited selection of suitable logistics providers so they can assess the specific request and follow up. We do not publish the information in an open directory.

06

Processing outside the EEA

Cloudflare and HubSpot are providers based in the United States. Where personal data is processed outside the European Economic Area, the providers rely on appropriate safeguards, including the European Commission's Standard Contractual Clauses.

07

Retention

The technical intake copy in Cloudflare infrastructure is deleted no later than 30 days after receipt. A request that does not convert into a business relationship is deleted or anonymised in HubSpot no later than 24 months after the last substantive business interaction.

Longer periods may apply to active quotations, open business matters, customer relationships, statutory retention duties, or the establishment and defence of legal claims. After a marketing opt-out, we may retain a minimal suppression record and evidence of the earlier consent where necessary.

08

Optional marketing consent

The marketing choice applies only to information about OLN and relevant logistics services by email. You may withdraw consent at any time with effect for the future, including through the unsubscribe link in every marketing email or by contacting OLN. Withdrawal does not affect the lawfulness of processing carried out before it.

09

Analytics and campaign measurement on the landing page

Cookiebot controls non-essential analytics and marketing services on the landing page, and they load only in line with your selection. This privacy notice itself contains no analytics or marketing scripts. See the cookie policy for more information.

Automated decisions

The information may be evaluated with technical assistance to narrow down possible logistics providers. We do not make decisions based solely on automated processing that produce legal effects concerning you or similarly significantly affect you.
